Refund Policy

1. Introduction

ResearchWithMe Academic Consulting ("ResearchWithMe," "we," "us," or "our") aims to provide high-quality academic training, mentoring, and defence preparation services. This Refund Policy explains when refunds, transfers, or credits may apply to course fees and related services.

2. General Principle

Due to the nature of our services — which may include live training, immediate access to digital materials, templates, replays, and dashboard resources — refunds are limited and subject to the specific conditions outlined in this policy. We encourage you to review course details and package options carefully before registering.

3. Refund Eligibility

You may be eligible for a refund in the following circumstances:

• You were charged twice in error for the same registration
• You registered for the wrong package and request correction before accessing any course materials or live sessions
• ResearchWithMe cancels the course and no suitable alternative date or cohort is offered
• You request cancellation before accessing course materials, dashboard resources, replays, or live sessions, subject to administrative review and approval

4. Non-Refundable Situations

Refunds will generally not be granted in the following situations:

• You have accessed course materials, downloads, templates, replays, or dashboard resources
• You attended one or more live sessions (online contacts)
• You missed the course or sessions due to personal reasons, scheduling conflicts, or failure to attend without prior notice
• You changed your mind after access was granted and materials were made available
• You were removed from the course for misconduct or breach of our Terms & Conditions
• You expected ResearchWithMe to write, fabricate, or produce academic work on your behalf
• You are dissatisfied with institutional examination outcomes beyond ResearchWithMe's control

5. Transfers and Credits

Where a refund is not applicable, ResearchWithMe may, at its discretion, offer one of the following alternatives:

• Transfer to a future cohort of the same course
• Transfer from one package tier to another (Standard to Professional, Professional to VIP, etc.) with applicable fee adjustments
• Credit toward another ResearchWithMe course or service
• Replacement of the registered participant with another person, subject to approval

6. VIP and Mock Defence Services

VIP services — including individual slide audits, personalised question banks, one-on-one mock defence sessions, and priority feedback — require dedicated facilitator time and preparation. Once preparation for these services has commenced, they may be considered non-refundable. We will communicate clearly with you regarding the status of your VIP service preparation.

7. Refund Request Procedure

To request a refund, transfer, or credit, please contact us through one of the following channels:

Your request should include:

• Full name
• Email address used during registration
• WhatsApp number
• Course package selected (Standard, Professional, or VIP)
• Proof of payment (receipt, screenshot, or transaction reference)
• Reason for the refund request

8. Review Timeline

Refund requests will be reviewed within a reasonable period, typically 5 to 10 working days from the date we receive all required information. You will be notified of the outcome via email or WhatsApp.

9. Transaction Charges

Where a refund is approved, any bank charges, payment processor fees, currency conversion costs, or third-party transfer fees may be deducted from the refunded amount, where permitted by applicable law.

10. Course Cancellation by ResearchWithMe

In the unlikely event that ResearchWithMe cancels a scheduled course or cohort, registered participants will be offered the following options:

• A full refund of the course fee paid
• Transfer to a future cohort of the same course at no additional cost
• Credit toward another ResearchWithMe course or service

11. No Guarantee of Defence Outcome

Refunds will not be issued because a participant did not pass their defence, did not receive a desired academic outcome, or did not satisfy institutional examiners.

ResearchWithMe provides training, preparation support, feedback, and educational resources. Institutional assessment decisions, examination outcomes, and degree awards are beyond our control and are not covered by this Refund Policy.
